Office cleaning checklist

What a commercial cleaning crew should do on every visit, what can wait for a weekly or monthly pass, and how to decide how often your office needs cleaning.

Every visit

These are the basics a recurring office cleaning should cover each time the crew comes in. This is the list we work from on every visit.

  • Trash and recycling: emptied throughout, liners replaced, taken to the building’s bins
  • Restrooms: toilets, urinals, sinks, counters, mirrors and partitions cleaned and disinfected; soap, paper towels and toilet paper restocked; floors mopped
  • Kitchen and breakroom: counters, sinks, tables and appliance fronts wiped down; microwave interior wiped; floors cleaned
  • High-touch surfaces: door handles, light switches, railings, elevator buttons, shared phones and keypads
  • Glass: entry doors, glass partitions and smudges on interior glass
  • Dusting: reachable horizontal surfaces, reception counters, cleared desk surfaces
  • Floors: carpets vacuumed; hard floors swept and mopped

Less often: weekly or monthly

Some tasks don’t need doing every visit. Agree in writing which of these are included and how often.

  • High dusting: vents, ceiling corners, tops of cabinets and door frames
  • Baseboards, chair bases and table legs
  • Interior glass and partitions, cleaned fully
  • Breakroom appliances: refrigerator wipe-out (with your staff’s agreement), inside the microwave and oven
  • Upholstered chairs and fabric seating vacuumed
  • Restroom detail: grout, partitions and fixtures, top to bottom

Periodic or specialty work

These are usually quoted separately, or built into one monthly total once the company has seen your floors.

  • Carpet extraction (deep cleaning)
  • Hard floor stripping, waxing and buffing
  • Window cleaning outside or above reach
  • Post-construction or move-in and move-out cleaning

By area

If you’re writing your own scope, it helps to go room by room:

  • Entry and reception: glass doors, front counter, seating, entry mats, floors. This is the first thing visitors see.
  • Workspaces and offices: trash, cleared desk surfaces, phones, floors. Agree whether the crew dusts desks that have papers on them, or cleans around them.
  • Conference rooms: tables, chairs, whiteboards (if you want them wiped), screens dusted, floors
  • Restrooms: the area people judge most. Every visit, without exception.
  • Breakroom: counters, sinks, tables, appliance fronts, trash and floors
  • Clinics and exam rooms: counters, sinks and touch points. Clinical equipment and medical waste stay with your staff. See medical office cleaning.

How often should an office be cleaned?

It depends on how many people use the space and how many visitors you get. As a rule of thumb:

  • Once a week: small offices with a handful of staff and few visitors
  • Two or three times a week: most small and mid-size offices
  • Every weekday: busy offices, clinics, and anywhere with a steady stream of visitors

Restrooms and breakrooms usually set the pace. If they look rough by midweek, you need more visits. Compare typical prices by frequency.

Make it stick

A checklist only works if someone completes it every visit and someone checks. Ask your cleaner to work from a written list, to note anything they notice (a leak, supplies running low), and to name one person you call when something is missed.
